Same happened to me when I changed managing agencies over 1 year ago. I had foolishly maintained a fairly hands off approach as I was abroad for work most of the time and when I came home after several months away I was confronted with such gross incompetence that I was left with no choice but to sack the agency and transfer to a new one.
Now I am still abroad most of the time but when I'm home I schedule property appointments, take photographs, follow up on action items, keep detailed minutes - basically treat the managing agency/tenant relationship like a part time job.
In addition, I now write to each new tenant via snail mail to inform them of my email address and advise them to give me a heads up when things are not going well. This has been a real saviour as the managing agent now cannot hide when they are not performing. I am not out to 'get' the managing agent, but I am paying a handsome management fee and I expect them to uphold their contractual obligations. When I see this is not happening I get things done myself - its my investment and tenants to protect after all.
